Using the Client Portal for IDV Code Requests

IDV Code Requests

 In FibreCRM, you can request Identification Verification (IDV) codes from clients using either the individual request method or the mass sending functionality. This guide will walk you through both approaches, showing you how to use the pre-configured IDV request template, send it through the client portal, and update your records with the returned data.

Key Notes

  • CRM Champion: Contact your CRM champion to confirm whether the request goes to the admin, finance, or primary contact by default.

  • Field Setup: The IDV Code field must be added to your layouts via Studio if it isn’t already there.

  • Portal Access: Each recipient needs a valid email address and mobile number in the system to access the portal.

Sending an Individual IDV Request

  1. Open the Client Record
    • Navigate to the person’s record in FibreCRM
    • Check their related organizations and confirm they are the admin contact.
  2. Start the Request
    • Click the Actions menu.
    • Select Client Information Request.
  3. Load the IDV Request Template
    • Choose the IDV Request template from your system.
    • This will display:
      • Name of the person.
      • Related organizations (read-only).
      • Mandatory IDV code field.
      • Optional email address and mobile number fields.
  4. Invite the Client to the Portal
    • Click Invite Client to the Portal.
    • You do not need to select an organization—it will apply to all organizations where they are the admin contact.
    • Confirm who the sender is, the mobile number, and the email address.
    • Click Send.
  5. Client Completes the Form
    • The client logs into the portal.
    • They fill in the IDV codes for all relevant directors, shareholders, and PSCs.
    • Optional: Fill in email and mobile number.
    • If they don’t have an IDV code for someone, they can use the Delete button to remove that person from the request.
    • Save and submit the form.
  6. Review Returned Data
    • Back in the person’s record, view the returned information.
    • Copy the IDV codes into each individual’s record.
    • Ensure the IDV Code field is visible on the layout (add it via Studio if needed).

Sending a Mass IDV Request

  1. Build Your Target List
    • Create a list in FibreCRM of all admin or primary contacts.
    • Use search filters to identify them.
  2. Select and Launch the Mass Send Tool
    • Select all relevant contacts from your list.
    • Use the Bulk Action Mass Send CIR tool.
  3. Configure the Request
    • Choose the IDV Request template.
    • Review included fields (Name, Organization, IDV Code, Email, Mobile Number).
    • Choose the sender and your email template.
  4. Optional: Auto-Update Fields
    • Tick the option to bypass returned information if you want the system to update the IDV Code field automatically without reviewing each response.
  5. Send the Requests
    • Click Send to deliver the request to all selected contacts at once.
