Creating & Sending a Proposal – User Guide

Introduction

This User Guide will cover the creation and sending of a Proposal to a client in CRM. Proposals are sent through Opportunity records.

Creating and Sending a Proposal

To create a Proposal you’ll first need to select the Opportunity record for the client you wish to send the Proposal to. To do this you can either navigate to the Opportunity Subpanel in the related Person or Organisation record.

Or by going into the Opportunities module and using the Search Filter to find the correct Opportunity.

In the Opportunity record select the Print as PDF option in the Actions Menu.

In the pop up box, select the relevant Proposal Template in the PDF Template list.

The Proposal will then be downloaded to your desktop. Check over the Proposal and make sure the information such as line items have been pulled over from the Opportunity correctly.

When you’re ready to send the Proposal to your client select the Email PDF option in the Actions Menu.

In the pop up box select the same template when you downloaded the proposal to your desktop in the PDF template drop down menu. Also select the Email Template and if the recipient is the Organisation or Person associated with the Opportunity. Once done select Send Email

Your client will then receive the Proposal via email.

Proposals with E-Signing

You can also send out a Proposal with E-Signing via the CRM so your client can approve a quote and that approval will go straight back into the CRM. To do this navigate to the Opportunity that the Proposal will be sent to and in the Actions Menu select the Send Proposal option.

The Send Proposal pop up box will then appear. At the top you can see which Person/Organisation is related to.

In the Send To will tell you which email address the proposal is going to. It will automatically default to the Primary email address however if there are multiple email addresses connected to the Person record you use the drop down arrow to select another email address if required. 

Across is the Email Template where you can select the body of the email the proposal will be sent with. Once you’ve selected the Email Template, the Email Subject  and Email Body will be then be filled depending on what has been added to the Email Template chosen. Changes to the Email Body and Email Subject can be edited if necessary as they are both text boxes.  The Email Body will show you what the email your client receives will look like.

In the PDF Template is where you’ll select the Proposal. Information from the Opportunity will be pulled across into this Proposal such as Line Items. Select the Preview button to view what the Proposal will look like.

You can also select the branding from the drop down list. Note once you’ve selected the branding it will be selected for future correspondence such as an Engagement Letter.

Once you’re happy with everything click Send Email

A pop up box will then appear letting you know the Proposal has been sent click OK. You’ll then be taken back to the Opportunity.

In the Opportunity the Proposal Status field will updated to Sent.

You can also scroll down the Proposal subpanel in the Opportunity where you can view the Status of the Proposal. This subpanel is also available in the Person and Organisation record and will update as and when the client views/accepts.

Once the email has been sent your customer will then receive an email containing a link to the proposal to sign. 

In the Proposal they can view and check the contents of the proposal and can then scroll down the page to digitally accept and sign the Proposal. They also have the option to decline if needs be.  

If your client has viewed the Proposal the status in the Opportunity and Subpanel will update automatically to viewed. If they then accept the Proposal the status will automatically update to Accepted, the accepted will also be added. If your client declines this will also automatically update the status as well.  

In the Proposal Subpanel the name of the Proposal is hyperlinked and selecting it will take you to the Proposal Record.

In the Proposal Record you can view information regarding the Proposal such as; Proposal Status, the Accepted Name, Accepted Date and the IP address of the signer of the proposal.

In the Proposal PDF field you can view or download a copy of the Proposal with the Digital Acceptance Information.
